Shipping & Inventory Coordinator JB009

CellMosaic is a biotechnology company located in Woburn, Massachusetts. We provide bioconjugation-based products and services for the pharmaceutical industry, diagnostic companies, and academic researchers.

We are seeking a detail-oriented and organized Shipping & Inventory Coordinator to support our daily warehouse and manufacturing operations. This role is responsible for order entry, invoicing, shipping and receiving, maintaining accurate inventory records, coordinating domestic and international shipments, and supporting supply procurement. Training will be provided. The ideal candidate is organized, dependable, and comfortable working in a scientific product environment.

Order Processing & Invoicing

  • Enter customer orders accurately into the company system.
  • Generate and process invoices in a timely manner.
  • Verify order details, pricing, and shipping information before fulfillment.
  • Maintain accurate order records and documentation.
  • Coordinate with the sales team regarding pricing quotes and order details.

Shipping & Receiving

  • Receive incoming shipments and verify contents against purchase orders.
  • Pull inventory items accurately to fulfill customer orders.
  • Pack orders securely and prepare shipments for domestic and international delivery.
  • Complete all required shipping documentation, including customs and international forms.
  • Print shipping labels and ensure proper product labeling and packaging.
  • Track outgoing packages and monitor delivery status.
  • Communicate directly with shipping carriers to resolve issues and schedule pickups.

Inventory Management

  • Update and maintain accurate inventory records in the Insightly system.
  • Monitor inventory levels and notify the manufacturing team of low-stock items.
  • Assist in maintaining organized inventory storage.

Customer & Administrative Support

  • Send shipment tracking information and confirmations to customers.
  • Provide shipment and order updates as needed.
  • Ensure timely and accurate communication regarding order status.

Procurement & Manufacturing Support

  • Order supplies required for manufacturing operations.
  • Obtain and compare vendor quotes for materials and supplies.
  • Inform the manufacturing team of low inventory items to support production planning.

Essential Qualifications and Skills

Education

  • Associate of Applied Science (A.A.S.) in Logistics or Supply Chain Management, Certified Logistics Associate (CLA), or a bachelor's degree in Life Sciences.
  • Minimum of a high school diploma or equivalent required; relevant work experience may substitute for formal education.

Experience & Skills

  • Experience in shipping, logistics, warehouse operations, order processing, or inventory management is a plus.
  • Familiarity with CRM or inventory management systems.
  • Proficient in Microsoft Office Suite (Word and Excel).
  • A basic understanding of scientific or laboratory products is beneficial.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Excellent communication skills and the ability to coordinate with internal teams and external vendors.
  • Willingness to learn; training will be provided.
